Below are some examples and rules for creating Order Templates from a .csv file.
This is accessible via the order templates module on your site.
(if you do not have Order templates on your site and you'd like to know more about adding this functionality to your site, please contact our support team and we can assist you with working out the best options and solutions for you)
You can upload the order template from the "CSV Import" button at the top-right of the Order Templates page:
Here's an example of several different options and scenarios that you may want to make use of when importing order templates from .csv - please refer to the notes and guidelines below that explain the different scenarios:
When you upload the .csv file - you'll be prompted to map each column to the corresponding field in the online order templates. In order of column numbers:
- The first column corresponds to your customer's account number from your accounting package.
This will allow anyone with that account number to see the template. - However if you're applying the template to someone who doesn't have an account number, or if you want to specify JUST one customer at a time, you can just put their email address in the email column and leave the account number field blank
- Template Description: this isn't mandatory -but allows you to enter a description for the order template if you want to.
- Order Template Title is mandatory and the most important besides the customer - for every line you add a customer or product, you MUST have the order template title entered in this column. The spelling must be identical to all other rows related to this same order template, or it will generate a new order template.
In the example above, there are two order templates being imported - one called "Test Title" and the 2nd is called "Test Title 2"
If you accidentally had a row called "Test Titl" it would create a 3rd order template by this name (assuming a valid account/email is in the same row) - Product code - corresponds to your product model/sku code
- Quantity - typically if the order template is being used as a quick "short-list" of common products to order from - the quantity should be left as "0".
PLEASE NOTE: if the spreadsheet is quite large - you'll need to wait however long it takes for the browser to finish uploading the file - please do not navigate away from the upload page until notified that it's successfully completed.
LIMITATIONS: you cannot upload the same customer account number or email address more than once.
If you have need for something like this or if you're trying to sync multiple customer accounts per order template - you're best to leave the account number and email column blank - which will create the order template without any customers assigned to it- and then you can edit the template once it's created in the templates list - and assign as many customers as you need to from there.
There currently isn't any option to bulk upload admin-controlled order templates - if you want an order template to be an admin controlled template - you'll need to upload the template via CSV first - and then manually change it to Admin Controlled by editing the order template in the site admin:
